Handling of pseudonymously processed information

1.Definition of pseudonymously processed information

We define “pseudonymously processed information” as information relating to an individual which is derived by processing personal information in accordance with the applicable legal and regulatory standards —for example by removing the descriptions from personal information or completely deleting individual identification codes from personal information— so as to render it incapable of identifying any specific individual unless it is combined with other information.

2.Creation and handling of pseudonymously processed information

We will generate and handle pseudonymously processed information in accordance with the applicable laws and regulations, by taking the following the measures.

  1. Appropriate treatment which conforms to legal and regulatory standards.
  2. Security measures to prevent the leakage of information deleted during the creation of pseudonymously processed information and information concerning the processing method used, which are continuously reviewed.
  3. Abstention from combining the pseudonymously processed information with other information to identify the individual to whom the underlying personal information used in its creation relates.
  4. Abstention from using pseudonymously processed information to contact our customers.
  5. Deletion of pseudonymously processed information and the underlying personal information used in its creation without delay, once they cease to be required. However, this will not apply to anonymously processed information which do not constitute personal information.
  6. Compliance with all other legal and regulatory requirements.

3.Purpose of use of pseudonymously processed information

We and other members of the TOKAI Group (hereinafter collectively referred to as “TOKAI Group Companies”) will use pseudonymously processed information for the following purposes.


Development and improvement of products and services

  1. - To analyze the trends in the use of the various products and services by customers of TOKAI Group Companies.
  2. - To analyze the contents of inquiries received from customers of TOKAI Group Companies.

Ensuring the stability of products and services

  1. - To analyze the operational status and maintenance status of the various products and services offered by TOKAI Group Companies.
  2. - To conduct the analysis required in preventing or dealing with illicit contracting or use, or non-payment, in relation to the various products and services offered by TOKAI Group Companies.

Miscellaneous analysis

  1. - To conduct analysis as part of big data analytics in order to solve social issues and improve customer satisfaction.
  2. - To conduct analysis in order to improve the business operations of TOKAI Group Companies.

Where we reuse pseudonymously processed information for any purpose which is not outlined above and which cannot reasonably said to be connected to one of the aforementioned purposes, we will, on each occasion, publish a clear explanation for the purpose of reuse.

4.Shared use

Following the establishment of TOKAI Holdings Corporation and reorganization of our business on April 1, 2011, TOKAI Group Companies have commenced a new shared use of pseudonymously processed information, whereby TOKAI Group Companies share the pseudonymously processed information generated from the personal information of their respective customers with each other, within the confines of the purposes of use set out in Section 3 above.

  3. Items of pseudonymously processed information shared
    Information derived from the following personal information, by removing descriptions and individual identification codes from it, so as to render it incapable of identifying any specific individual unless it is combined with other information.
    1. (a) Name, address, telephone number, email address, and other like personal information concerning attributes of customers.
    2. (b) All personal information relating to customers or their family which are acquired at the time of purchase or contracting, or in the course of provision of services.
    3. (c) Personal information provided by customers who participate in campaigns and prize draws, or any other personal information provided by customers.

5.Disclosure of pseudonymously processed information

We will not disclose the pseudonymously processed information we have generated to third parties unless we are legally required to do so. For the avoidance of doubt, any disclosure which results from shared use (as described in Section 4 above), or the outsourcing, acquisition, or divestment of business by us will not constitute disclosure to a third party.
